What data do we collect about you, why and how do we use it?
Communication Data: This could be any personal information that you provide to us through any of our platforms including, over the phone, via email, contact forms on our websites, online chat, social media, by text, in person or any other way you can communicate with us.
We require this data for reasons including returning enquiries about the services we offer, for posting certification to you and notifying you about the expiry of your certification with us. Our lawful ground for acquiring this data is to communicate with you, as well as defend or pursue legal claims.
Customer Data: This refers to any purchases of goods or services that we provide which include;

Payment Card Details (these are never written down or stored)
Our lawful ground for collecting this information and processing your data is legitimate enabling us to provide you with the goods and services that you have purchased or that have been purchased on your behalf. We are required to upload all documentation from our training courses for quality assurance from our regulating body PROTRAININGS EUROPE LIMITED, and all required data for certification (name, email, gender*, date of birth*).
*Regulated qualifications only.
User Data: This includes data about how you use our websites, along with any data you post for publication on our website or the website of Pro Trainings Europe Limited for online bookings of courses or service enquiries. Our legal ground for collecting this data is to enable us to correctly administer our website and our business.
Technical Data: This includes data about the use of our websites, your IP address, details about your browser, page visits, length of visit, page views and navigation paths, details about the number of visits you make to our website. The source of this data is from our tracking software and only applies to business visits. We do not have access to any technical data from websites visits from individuals. This data is not processed, however is used to follow up on leads that our websites generate. We analyse this data to improve our website for our visitors, to understand the effectiveness of our marketing campaigns. Our lawful ground for processing this data is to administer our website and improve visitor experiences, to sustain and grow our business and brand.
We may use customer data, technical data and marketing data to communicate with you in the future including through our websites, social media platforms. Your data will remain secure with no paper hard copies kept. We will not share the data you provide us with to any third parties with the exception of Pro Trainings Europe Limited for vocational qualifications and Pro Trainings Europe Limited and TQUK awarding body for regulated (RQF) qualifications. Our lawful ground for using this data is to ensure that we are offering the best and most appropriate services / products to meet the needs of our customers and to sustain and grow our business.
Delegate and Training Course Data: We are required to obtain some data of our delegates for the purposes of certification to meet the requirements of our awarding organisations Pro Trainings Europe Limited and TQUK awarding body. The data that we require to register you onto a course, or that you will need to provide when using the online booking process as well as completing during your training course include;

Your email address to allow you to receive free update videos from Pro Trainings Europe Limited and allow you to download materials such as a student manual

Your gender *
Your date of birth*
*Regulated (RQF) courses only. Where delegates are completing a training course on behalf of their employer, we advise delegates to provide your company address, and work email address along with contact number rather than your personal data.
We require this data for quality assurance purposes, as evidence of you meeting the criteria to pass the qualification. Our lawful ground for processing this data is to meet the requirements of our awarding organisations.
We do not retain hard copies of your data, and as soon as your training course is completed, all documentation for the course is uploaded to Pro Trainings secure cloud, and then destroyed by shredding. In the interim period from completion of a course, to the uploading of the paperwork, all hard copies are stored securely in a locked folder. This includes during travel from any training venue to our offices.
The data that we collect for invoicing purposes which includes;
Your company name if applicable
Your address home or business address which ever is applicable
Your telephone number
Your email address
Our lawful ground for collecting and processing this data is to create your invoice, and email this along with your confirmation of booking. We use a secure cloud based invoicing system, and no data provided to us is kept in hard copy. For payments made over the phone, we are PSI DSS compliant and no credit / debit card data is saved, stored or passed to any other party either in hard or electronic format.
In the event of payments failing to be made, and legal action being taken data including you name, address, phone number and email address may be passed to the small claims court in order to reclaim any outstanding fees.
Where an employer is providing data to us for registration purposes, you agree that you have the consent of the employee / delegate to do so and no liability is accepted by us in the event of this not being true.
Sensitive Data: In the event that your require reasonable adjustments of support whilst attending our training courses, we require you to provide written consent for us to share this with Pro Trainings Europe Limited and TQUK awarding body. It is your responsibility to ensure that you are fit to participate in the training and to liaise with your instructor should you require any adjustments to be made. This includes but is not limited to medical conditions both permanent an temporary, learning aids and additional support throughout your training.
We are required to collect some data by our awarding organisations Pro Training Europe Limited and TQUK awarding body, and in any instances where required data is not supplied, we may not be able to provide you with the service that we are contracted to do. In the event we are not able to certificate delegates who refuse to provide us with the required data, we are not at liberty to issue refunds as per our cancellation policy.
We will only collect the required data as laid out above. This could change based on the requirements set out by our awarding organisations and for more information on this you can contact us by email, post or telephone on our contact details listed at the top of this document.
How do we collect your personal data?
The data you provide us in order to process your booking can be verbally over the phone, via email, contact forms on our websites, by post, in person or via the Pro Trainings online booking system. Your data could also be passed to us by your employer, agency or training consultants and it is their responsibility to ensure that they have your consent to do so.
We automatically collect certain data as you use our websites through cookies, and for companies’ software on our websites which will provide us with the company details, including phone number, website, address, and some employee contacts. This data is cloud based and not passed to any other party and is only used to ensure you obtained the information you were looking for.

In the event of sharing your data with any third parties, we only ever pass on the data that is required, and this is kept securely as laid out above.
We have security measures in place to prevent the loss, theft, disclosure or alterations of your data and in the even of any breach, we will notify you and any authority we are required to by law within the et period of time.
We will only keep your data for as long as we are required to do so for the purposes it was collected. This includes legal, accounting and qualification time frames. For taxation purposes we are required to keep information about you for six years after you stop becoming a customer.
For qualification purposes your data supplied to us is required to be kept for seven years and this is stored on secure cloud based systems not hard copy format.

Under data protection law you have rights in relation to your personal data that include the right to request access, correction, deletion, restriction, transfer, to object to processing and withdraw consent (where lawful ground of processing is consent).
